Terms of Service

These terms are an agreement between you (the shop or person using Phanim) and Straven Studio, a sole proprietorship based in Michigan, United States, which operates Phanim. By creating an account you agree to them.

1. The service

Phanim is web-based shop management software: jobs, quotes, scheduling, materials, time, costing, and — on the plans that include it — AI assistance. We may add, change, or remove features. If we remove something material from a plan you pay for, we'll tell you before it happens.

2. Your account

You are responsible for your account credentials and for everything done under your account. Tell us promptly if you think someone else has access. You must be at least 18 and able to enter a contract. One account per shop; you may add users up to your plan's limit.

3. Trials

New shops get 14 days of full Crew-tier access with no credit card. At the end of the trial your account becomes read-only until you choose a plan — nothing is deleted. If you need more time, ask once and we'll extend it by a week.

4. Payment

• Plans are billed monthly or annually in advance. Annual billing is charged at ten months' price.
• Prices are in US dollars and exclude any tax we're required to collect.
• Payments are processed by Stripe. We don't store your card details.
• You can cancel any time from the billing page. Cancelling stops the next charge; you keep access through the end of the period you already paid for.
• We don't automatically refund partial periods. If something went genuinely wrong, email us and we'll deal with it like adults.
• If a charge fails, we'll retry and email you. Accounts unpaid for 30 days become read-only; unpaid for 90 days may be deleted after notice.

5. Your data is yours

You own everything you put into Phanim — jobs, clients, materials, quotes, photos, notes. You grant us only the permission needed to store, process, and display it back to you, and to keep backups. You can export your data to CSV at any time, including after you cancel. See the Privacy Policy for how we handle it.

6. Acceptable use

Don't use Phanim to break the law, store other people's data without the right to, attack or probe the service, resell access, or upload malware. We can suspend an account that's doing any of that, and we'll tell you why.

7. AI features

Some plans include AI assistance that analyses your shop's data to flag risk, draft text, and answer questions. It is a tool, not a decision-maker: it can be wrong, and you are responsible for checking anything it produces before you act on it — especially quotes, prices, schedules, and anything you send to a customer. We don't use your shop's data to train third-party models.

8. Availability

We work to keep Phanim up and fast, but we don't promise uninterrupted service. Planned maintenance is announced in advance where practical. We're not liable for downtime caused by our infrastructure providers, your connection, or events outside our control.

9. Warranty and liability

Phanim is provided "as is," without warranties of any kind to the extent the law allows. We are not liable for indirect, incidental, or consequential damages, or for lost profits or lost data. Where liability can't be excluded, our total liability is capped at what you paid us in the twelve months before the claim.

10. Ending the agreement

You can close your account any time. We can end this agreement with 30 days' notice, or immediately for a serious breach of section 6. On termination you have 30 days to export your data before we delete it.

11. Changes to these terms

We'll post updates here and change the "last updated" date. For material changes we'll email account owners at least 14 days before they take effect. Continuing to use Phanim after that means you accept the new terms.

12. Governing law

These terms are governed by the laws of the State of Michigan, United States, without regard to conflict-of-laws rules. Disputes go to the state or federal courts located in Michigan.
